Policies and Expectations
We have a set of clearly defined student rules that all students and parents receive before arrival. Each student confirms, via the ‘Medical and Consent Form,’ that they have read and will abide by these rules. The rules explicitly state that:
- Bullying or harassment will not be tolerated. Discriminatory behaviour based on race, religion, gender, age, disability, sexuality, or appearance is strictly prohibited.
- Immediate dismissal may occur for serious disciplinary issues. If a student violates the rules or poses a risk to themselves or others, they will be sent home at their own expense.
- Respect and inclusivity are fundamental expectations. We aim to create a positive learning environment where all students feel welcomed and supported.
Dedicated Safeguarding Team
As part of our commitment to student safety, all tutors, teachers, seasonal staff, and anyone who comes into contact with students are DBS checked. This ensures that every member of our team meets the highest standards of safeguarding and child protection.
Our safeguarding team is available at all times to support students. Any student with concerns about their wellbeing can confidently reach out to our trained staff, who are committed to ensuring their safety and support across all course locations. Each course location has a dedicated safeguarding team responsible for student welfare, ensuring that every student has access to support whenever needed. The designated roles at various locations include:
- House Parent – St John’s Beaumont (SJB) & Eton
- Welfare Manager – Harrow School
- Welfare Officer – Oxford and Cambridge Colleges
- Course Directors and Deputy Course Directors – Overall responsibility for student welfare and safety across all locations
These trained professionals work to ensure every student receives the care and support they need throughout their time with us.
Student Safety Measures
We take precautions to protect students and ensure a safe learning environment. These precautions include but are not limited to:
- Rooming Arrangements: Male and female students are housed separately in college or dormitory buildings. All students aged 13+ must be in their own rooms by 10 pm, and students are not permitted to enter each other’s rooms after this time. Breaking this rule may result in disciplinary action.
- Supervised Free Time: Students aged 13-17 must remain in groups of at least three during free time and stay within designated boundaries. Junior students (ages 9-12) will always be accompanied by on-course staff during free time.
- Welcome Talk: Upon arrival, all students receive a welcome talk from the Course Director, explaining rules, expectations, and safeguarding procedures.
- Emergency Procedures: Fire drills are conducted during the course to familiarise students with safety protocols in case of an emergency.
- Student Behaviour Monitoring: Staff closely monitor student behaviour, intervening when necessary to maintain a safe and respectful environment.

Airport Travel and Transfers
We understand that arriving in a new country can be daunting, which is why we offer complimentary airport transfers for eligible students. To ensure a smooth arrival and departure process, students must complete the Travel Form, selecting their preferred transfer option. If we do not receive the completed form, we will be unable to arrange a transfer.
Travelling as an Unaccompanied Minor
For students registered as an unaccompanied minor with their airline, we provide a dedicated service to ensure their safety.
- Arrivals: The airline’s staff will escort the student through the airport, where our team will meet them in the arrivals hall. This service is complimentary for arrivals.
- Departures: Students will be accompanied to the airport and assisted by an unaccompanied minors’ supervisor, who will help them through check-in and ensure they are safely handed over to the airline’s designated staff. This service costs £145 for departures.
- Parents should confirm with their chosen airline whether the unaccompanied minor service is necessary, as policies and age requirements vary.
What to Expect at Immigration
Students should carry all relevant immigration documents in their hand luggage, as they may need to present these at border control before collecting their bags. These may include:
- Passport with valid visa (if required)
- Offer letter or course confirmation email
- Visa support letter from Oxford Summer Courses
- Any other documentation required by UK Visas and Immigration
